Collection notice

The Victorian Academy of Teaching and Leadership (Academy) collects information, that includes personal and health information, for the purpose of facilitating registrations to undertake professional learning. 

General Privacy Collection Notice 

The Victorian Academy of Teaching and Leadership (the Academy) collects information about you, including personal, sensitive and health information. The Academy does this for the purposes of facilitating registrations for professional learning, facilitating venue hire, facilitating accurate public reporting for accountability and facilitating research about the impact of professional teaching/learning, using de-identified data.  Your information will be handled in accordance with the Privacy and Data Protection Act 2014 (Vic), Health Records Act 2001 (Vic), and Public Records Act 1973 (Vic).  

Such information may include various attributes, including your:

  • Name
  • Mobile phone number
  • Email address
  • Organisation or school name  
  • Position
  • Employee number
  • Teacher registration number
  • Years of experience
  • Whether you identify as an Aboriginal or Torres Strait Islander
  • Accessibility or health needs  
  • Cultural Background
  • Gender
  • Age
  • Postal address for the provision of course materials and books (selected programs).

The Academy may also collect your assessment and course completion data in the furtherance and fulfilment of its statutory objectives and obligations.  

The information provided will be used to ensure all participants have equal access to professional learning; for demographic and financial reporting purposes; and to assess whether the Academy’s offerings are inclusive and representative of the education workforce and profession.  

The Academy discloses some personal, sensitive and health information to some service providers solely for the purpose of facilitating the delivery of catering, courses and materials. The Academy’s service providers are contractually bound by obligations of confidentiality. Please contact the email below, if you receive unexpected or suspicious emails or approaches from service providers outside of the usual or reasonable orbit of Academy professional learning, so that the Academy may follow up and ensure that your information remains confidential and is not being misused.  

Information may also be used for research and to evaluate the effectiveness of Academy professional learning. Such information will be accessed only by Academy staff involved in quality review and evaluation, and to a limited extent by the service provider that conducts impact evaluations on the Academy’s behalf. The Academy may disclose de-identified data (i.e. data that includes no information that might identify you) for research purposes. The Academy may collaborate with service providers, researchers or government organisations using de-identified data with the objective of progressing research into the status and impact of the profession in a variety of contexts.  

Please note that for particular types of professional development programs in the Academy (such as Teaching Impact Fellowships, for example) your name and/or contact details may also be shared with the Department of Education, the Academy Board, The Victorian Catholic Education Authority, Independent Schools Victoria, and/or the Minister’s office, for the purpose of publicly acknowledging/celebrating your professional achievements and/or for facilitating further professional development opportunities; or for a related secondary purpose for which you would reasonably expect the Academy to use or disclose information. For example, as a basis for professional discussions about further learning opportunities through the Academy. You may contact the Academy at any time if you have any questions or concerns.  

De-identified participant information will be used for the purposes of annual financial reporting, reporting to the Academy Board, and reporting to the Department of Education and its stakeholders, including peak principal bodies, the Australian Education Union, Catholic and Independent school sector bodies.  

Assessment data and materials produced by participants as part of any professional learning, such as online portfolios, recordings and similar products, may be collected, stored and accessed by the Academy for the purpose of supporting and assessing progress; evaluation of professional learning; promotion; collation of best-practice examples; and similar uses.  

Individuals have a right to request access to, and correct, their personal and health information held by the Academy. You may also contact us if you suspect your information has been misused by a service provider or disclosed inappropriately.  

Most requests to access and/or correct information held by the Academy are processed in accordance with the Freedom of Information Act 1982 (Vic). You can request access and correction of your personal information by contacting: academy@education.vic.gov.au

VAPA Privacy Collection Notice  

The Victorian Academy of Teaching and Leadership (the Academy) and the Department of Education (the Department) (“We”/” Us”) value your privacy. This Privacy Collection Notice explains how the Academy and the Department handle your personal information when you register and undertake the Victorian Aspiring Principal Assessment (VAPA). When you register and undertake the VAPA, the Academy and the Department will handle your personal, sensitive and health information in accordance with the Privacy and Data Protection Act 2014 (Vic), the Health Records Act 2001 (Vic) and the Public Records Act 1973 (Vic) to fulfil its statutory functions as required or authorised by law.  

The Academy collects your personal information to register and assess your eligibility to undertake the VAPA. We collect your health information and accessibility requirements to make reasonable adjustments and to enable your participation in the program and assessments.  The Academy uses a unique identifier to facilitate and administer your assessment results.  If you do not provide this information, we may be unable to make adjustments to facilitate your participation or cater for your needs.  

We also collect sensitive information, such as ethnic background, as this helps us improve, support and fund programs that promote diversity, access and equity and we may be required to report on participation in our programs.  

Assessment data and outcome  

As part of the VAPA, the Academy collects evidence of your professional performance through a range of assessment methods. The assessment data is used to evaluate your readiness for the principal role and to identify professional development needs.

Assessment data (emotional intelligence competencies, leadership competencies and the performance profile for professional practice areas), derived from 360-degree surveys, professional portfolios and interviews, is undertaken by the Academy and Genos International on behalf of the Academy. The Academy records and retains your assessment outcome (expressed as ‘met’ or ‘not yet met’).  

Use and Disclosure  

Your personal information and assessment data will be used to determine your assessment outcome.  

All personal information provided by individuals will be:  

  • used and disclosed by the State of Victoria and its service providers to carry out assessment-related activities and to provide technical support.  
  • shared with the Department solely for the purpose of validating whether the VAPA requirement has been successfully obtained at principal appointment.  

All assessment data is subject to quality assurance and validation activity.  

Optional information sharing and consent  

Additional, explicit, and optional consent is sought for the following:  

  • Sharing VAPA outcome data (limited to, and expressed as, ‘met’ or ‘not yet met’) linked to personal information to Department regional directors as a data dashboard for the purpose of regional talent management.

You may opt to be de-identified by notifying the assessment team. If you do so, your personal information will not be used, although the outcomes of your participation may be de-identified so as to be used for reporting purposes (for example, confirming numbers of candidates and outcomes of the assessment).
